These Terms and Conditions apply to all events hosted at the NISR Training Center, including meetings, trainings, and workshops. By booking and using the facility, organizers and participants agree to comply with the following rules:
1. Booking and Reservations
- All room bookings must be submitted at least 15 calendar days in advance.
- Requests should clearly state the type of event, number of participants, date, and duration.
- Bookings are confirmed only after written approval by NISR.
- Late bookings may be declined due to limited availability.
2. Security and Access
- All participants must present a valid Employee Identification Card (Badge) to access the premises.
- Visitors without badges will not be allowed entry.
- Organizers are responsible for submitting in advance the list of participants to NISR security.
- Security instructions must be always respected.
3. Cleaning and Orderliness
- Organizers are responsible for maintaining cleanliness during and after the event.
- Rooms must be returned in the same condition they were provided.
- Waste should be disposed of in designated bins.
- Extra cleaning fees may apply if the premises are left untidy.
4. Noise Control
- Events must be conducted in a manner that does not disturb other NISR operations.
- The use of sound systems or microphones must be agreed upon in advance.
- Excessive noise may result in suspension of the event.
5. Use of Facilities
- Facilities (furniture, ICT, projectors, air-conditioning, etc.) must be used with care and only for the agreed purpose.
- Any damage or loss will be charged to the event organizer.
- Moving furniture or equipment without prior authorization is not permitted.
6. Parking
- The Training Center has limited parking space.
- Organizers should inform participants to plan alternative parking arrangements.
- Priority parking is reserved for NISR staff and official vehicles.
7. Seating Arrangements
- Default seating is provided based on the room's design.
- Organizers must communicate in advance if specific seating arrangements (e.g., U-shape, classroom style, round table) are required.
- Changes to layout must be coordinated with NISR staff to avoid damage to furniture.
8. Catering Services
- External catering providers must conduct a site visit at least one day before the event to plan their setup.
- All catering arrangements must be approved by NISR.
- Organizers are responsible for ensuring proper food handling, hygiene, and waste disposal.
9. Compliance and Liability
- Organizers are responsible for ensuring all participants comply with these rules.
- NISR is not liable for loss, theft, or damage to personal property of organizers or participants.
- Non-compliance may result in termination of the event and restrictions on future bookings.
10. Cancellation and Changes
- Any change of schedule or cancellation must be communicated in writing to NISR at least five working days before the event.
- NISR reserves the right to cancel or stop any event that violates these conditions or compromises security.
11. Acceptance
By confirming a booking, the organizer acknowledges having read, understood, and agreed to these Terms and Conditions.
